• Contract Management System

All contracts and contractual obligations under your control!

Ensure a transparent contract management process and seamless document workflow

Contract Management Productive24 is a system built on the basis of the Productive24 platform, which allows you to automate and fully control the area of contract management.

The solution guarantees full transparency of processes related to the drawing up and negotiating contracts. What’s more, thanks to the obligations tracking, the software ensures that the contract is adequately managed during its entire duration.

Managing business terms in the DANONE Group is an advanced process with very complex business logic. The Productive24 platform handled our detailed requirements with ease and allowed the project to be completed successfully.

Measure the profitability of entire contracts and their components

Each system built on Productive24 platform can be freely combined with other Productive24 applications. The contract management automation allows not only to control the content and the most important parameters of contracts, but also to improve contract creation and measure its actual profitability.

System functions

  • Contract templates

    • Up-to-date, valid contract templates. The correctness of the document used by the employees is controlled automatically by the system.
    • Contract template management. Creating new templates for any type of contract.
    • Multi-level, flexible access permissions to edit specific parameters of templates or contractual provisions, e.g. to change the ranges of a given value – permissions granted according to both individually or according to the hierarchy.
    • Document versioning. Complex control of the document lifecycle by providing a full audit trail and maintaining contract template archives.
    • Comments and discussions (e. g. presenting arguments to support changes in a given contract template) conducted contextually – within a specific template document.
  • Document generator

    • Automation and centralization of the process of generating contracts and their derivative documents, e.g. predefined attachments, acceptance protocols, etc.
    • Contract Editor.
    • Automatic creation of the document after selecting a specific template or filling up a dedicated form.
    • Notifying stakeholders about required verification after the document is automatically/manually filled.
    • Digital acceptance of a contract in the system is automatically blocking the possibility of document editing (in the case of e.g. an order contract, acceptance is equivalent to the conclusion of a contract).
    • Maintaining e-records of documents (ready to print out when necessary).
  • Document repository

    • Electronic archives of all documents.
    • Register of all contracts in the organization, together with information on the physical location of the document.
    • Sorting, filtering, and searching documents by title, keyword, type, contractor, expiry date, and status (draft, negotiated, submitted for signature, active, expiring, completed, etc.).
    • Access to documents only by approved team members.
  • Tasks, contractual obligations and ticketing

    • Identifying and executing contractual obligations.
    • Reminders and notifications about actions needed to be taken in order to follow contract terms. Notifying users in certain cases e.g. before the contract is expired.
    • Managing all terms included in contract provisions – creating and assigning tasks to the employees/teams in order to proceed with the contract with the determination of its cyclicity.
    • Ticketing system for making requests for legal advice.
    • Tracking contractual obligations.

Trade terms management system in the DANONE Group

Contract management can be a great challenge not only for legal departments but also for sales departments. Overlooked contract expiration dates, neglected contractual commitments, unauthorized and uncontrolled changes to key contract provisions can all mean lost sales opportunities and profits, as well as hours and days, wasted negotiating often the same provisions. These issues arise in most companies regardless of their size or the industry they operate in.
